What is a virtual experience?
Virtual experiences are designed for fully remote or distributed groups, to interact and build relationships with one another.
Ideal for fully remote and hybrid teams, these experiences take place via a video conferencing platform such as Zoom, MS Teams, Webex or Google Meets.
All of our virtual experiences are private so if you book an experience with us, it will only be your group who’s attending the event. Learn more about virtual experiences and the booking process here.

Are you virtual experiences hosted live?
All of our experiences are hosted live professionals who will run and facilitate your event. All of our virtual experiences also have an event technician running them, meaning once an event starts you can sit back and enjoy the experience alongside all your guests.

What video conferencing software do you use?
We usually host our virtual experiences on Zoom, however most of our experiences can also be run on other platforms such as Teams, Google Meets and Webex.

Will the experience be run on our event link or yours?
We usually run virtual experiences on our own event links which will be sent to you after you book in. You can then forward on the event link to your attendees.
For nearly all of our experiences, we can run the experience on your own event link if you prefer.

Are your virtual experiences interactive?
All of our virtual experiences are fully interactive. They have been designed to maximise engagement and build connections between attendees.

Are your virtual experiences suitable for international groups?
Yes, many of our virtual experiences have been designed with a global audience in mind. Meaning that the content is suitable no matter where in the world you are from. When getting in touch with our team, please specify that your group is international and our team will assist you accordingly.

Do you deliver internationally?
Yes, with over 80% of our experiences catering for international attendees. When sending over an inquiry please let us know where your guests are based and we can advise on all options available.

Can I customise parts of the experience for my event?
We can generally be very flexible in adapting experiences to your needs. Just let us know what it is you need and we’ll advise what can be accommodated.

Do you offer virtual experience vouchers?
Yes, we offer experience vouchers to purchase that can be redeemed by colleagues and clients. Please get in touch via [email protected].

What is a hosting fee?
Our hosting fees cover the cost of our event technicians required to support your experience. This fee is usually £50-£100 per event, depending on the size, time and any special requirements your event may have.

What is a mobile in-person experience?
Mobile in-person experiences are interactive activities that are designed for events such as team building, company celebrations or any occasion any event where you want guests to engage, interact and have a great time!
Our experiences are mobile as they can be set up at your office or off-site venue. Our team and hosts can travel to any nationwide location and deliver an amazing experience. All of our in-person experiences are run by professionals, who will lead your experience or workshop, ensuring all of your event attendees have a great time! They will also take care of setting up and breaking down the experience, so the space is left exactly as they found it.

Are your in-person experiences suitable for my on-site / off-site event?
Our experiences are mobile as they can be set up at your office or off-site venue. This includes offices, hotel conference rooms and all types of event spaces.

Do you provide venues?
No, we don’t provide venues. Our in-person experiences are mobile so we will travel to your office or the venue that you’ve arranged.

How long does experience set up and breakdown take?
This can vary between 20 min – 2 hours depending on the experience and the size of the event. Get in touch to find out more.

Do you have public liability insurance?
Yes, we have public liability insurance up to £10,000,000.

Can you provide risk assessments (RAMS)?
Yes, we can provide risk assessments as requested.

Can you provide PAT test certificates for electrical equipment you'll be bringing?
Yes, we can provide PAT tests if required.

What is a setup fee?
Some of our experiences have additional set up fees. This exact fee can vary depending on the size and location of your event, but is usually £50-£150 per event.

How much are transport fees?
Transport fees cover the cost of travelling to and from your event. This fee will vary depending on the size and location of your event.

How do I book a virtual experience?
Just click the “enquire now’ button on our website or email us on [email protected]. We’ll reply to confirm all the details of your enquiry and provide you with a quote.

How do I book an in-person experience?
Just click the ‘enquire now’ button on our website or email us on [email protected].
We’ll reply to confirm all the details of your enquiry and provide you with a quote.

Can I book even if I don’t know the number of attendees yet?
Yes, if you’d like to book an experience to secure a time slot, but don’t know the number of attendees yet, we will initially take a deposit to secure your booking. You can then let us know final attendee numbers closer to the event date at which point we will charge you for the balance as required.

How do I pay?
Payment on all our invoices can be made via card or bank transfer. We take all credit cards including American Express.

What are your cancellation terms?
A full refund can be made on cancellations more than 30 days prior to a scheduled event.

What if I need to change the date of my event?
You can change the date or time of your experience up to 14 days prior to a scheduled event based on availability. An admin fee may apply for date changes.

Avva Experience creates its own experiences as well as promoting a highly curated list of partner experiences. If you’re interested in listing an experience with us, please send over details to [email protected].
